Sr. Administrative Specialist, Brain Health Institute (Onsite)
Minimum Qualifications:
Bachelor's degree or equivalent and three years of related experience.
Job Description:
To provide a high level of staff assistance to Entity Administrative Services Team Manager in carrying out the missions of the institution. Organizes, coordinates, and performs administrative duties concerning human resource and financial management activities and assists in the supervision of administrative staff.
Job Duties:
- Process requisitions for routine, non-routine and capital equipment purchases on a timely basis.
- Consult with Provost's office to ensure approvals are signed on a timely basis.
- Obtain current pricing and/or quotes for purchases, as well as justifications.
- Track missing orders through Receiving, Shipping and the vendor. Coordinate with vendor on matters such as pricing, delivery and returns.
- Responsible for executing with minimal direction, administrative duties at the highest level while exercising considerable discretion and judgment.
- Plans, organizes, and coordinates administrative duties.
- Supports and assists the overall functions of the Institute’s Director and personnel.
- Identifies operational problems and implements changes to provide solutions.
- Responsible for maintaining office operations which are effective and efficient.
- Adheres to internal controls and reporting structure.
- Performs related duties as required.
Knowledge/Skills/Abilities:
- Creates, edits and produces professional communications, which require proficiency in Microsoft Office Suite, including Word, PowerPoint and Excel.
- Demonstrates proficiency in PeopleSoft systems.
- Exhibits a willingness and aptitude for learning new computer software and other specified administrative systems, as required, to support the goals of the organization.
