Assistant Administrator - ASG 1
Minimum Qualifications:
Master’s degree in a related area and 4 years of related experience, or a Bachelor’s degree in a related area and 6 years of related experience.
Preferred Qualifications:
- PeopleSoft and/or Hyperion experience.
- Experience in an academic research environment.
- Biomedical science background.
Job Summary:
To assist the Associate Vice President of Academic and Research Affairs in operational and financial reporting, accounting, month-end and year-end activities, measuring trends, forecasting, budgeting, analysis, grants, and other financial activities with a broad functional or organizational scope.
Job Duties:
The Assistant Administrator will play a crucial role in supporting the Associate Vice President of Academic and Research Affairs by overseeing and enhancing business and administrative operations across basic science departments, institutes, centers, and cores in the John Sealy School of Medicine. This position involves managing business operations, coordinating special projects, and ensuring effective communication channels. The Assistant Administrator will work closely with Chairs, Institute and Center Directors, and other key stakeholders to implement the School's vision and goals
- Assists the Chairs, Institute and Center Directors, and Core Directors, Associate Vice President and Dean, if applicable, with the implementation of the John Sealy School of Medicine’s vision and goals.
- Manages and analyzes business operations and identifies areas where processes can be implemented to effect improvements.
- Coordinates, plans, and implements special projects, events, and continuing activities for the various support areas.
- Manages both internal and external communication channels, creating and maintaining website content, and potentially assisting with website development or maintenance.
- Assists with the development and maintenance of operational systems necessary for strategic and tactical business planning.
- Accountable for accurate reporting and meeting all external reporting deadlines.
- Understands and analyzes the impact of grant and contract revenue on income statements.
- Maintains positive and professional relationships with individuals in the Office of Sponsored Programs and other pertinent entities both on and off campus.
- Coordinates the John Sealy School of Medicine budget process for the Departments, Institutes, Centers, and Core facilities.
- Assists with the development and compilation of statistical and financial information for the department .
- Enhances the financial performance of the department through the education of faculty and training of staff.
- Manages facilities and IT planning.
- Responsible for the coordination of benchmarking efforts across the John Sealy School of Medicine.
- Assumes responsibility for taking a proactive approach to servicing customers.
- Reviews business plans and makes recommendations regarding these plans to the Chairs, Institute and Center Directors and /or if applicable, and Associate Vice President, Academic and Research Affairs.
- Responsible for the oversight of planning and managing facilities projects in the department, to include new construction and renovation.
- Assumes responsibility for recruitment, supervision and continuing development of professional and support staff.
- Develops and implements administrative policies, programs, and internal procedures.
- Manages the development of business plans for potential new services or business lines to ensure the department achieves its financial goals.
- Identifies appropriate internal controls for the department and provides mechanisms to monitor and enforce compliance.
- Adheres to internal controls and reporting structure.
- Provides briefings on operational activities at departmental meetings.
- Represents Chairs and/or the Executive Director/Director as required at institutional meetings.
- Assists the Chair, Institute and Center Directors and/or if applicable, Associate Vice President Academic and Research Affairs and John Sealy School of Medicine leadership with departmental strategic planning activities.
- Serves in John Sealy School of Medicine meetings as requested by the Associate Vice President Administration, Academic and Research Affairs.
- Performs related duties as assigned.
