Administrative Coordinator, SON Vice Dean's Office
Min Qualifications:
Bachelor's degree or equivalent in related field; 3 years related experience.
Specific Job Related Duties:
- Provide administrative support for the various divisions within the Office of the Vice Dean.
- Responsible for administrative support tasks at an executive level.
- Perform a high level of administrative duties while maintaining confidentiality, including independent problem-solving; project planning, management and coordination; serving as a liaison with on- and off- campus entities and agencies to facilitate successful interactions; production of agendas and minutes for distribution in a timely manner; and coordinating and planning to ensure advance preparation for meetings.
- Provide administrative and data clearinghouse support for the Assistant Dean of Organizational Effectiveness and Evaluation
- Compose and prepare general correspondence and/or compile statistical and annual reports, graphs, charts, presentations, faculty development spreadsheets and other data collection and compilation as needed.
- Prepare and submit departmental requisitions, purchase orders, invoice payments, travel authorizations and employee reimbursements.
- Assist in the planning and scheduling of faculty development workshops, accreditation and consultation visits, and off-site conferences. Provide administrative support to coordinate calendars, generate and distribute itineraries, manage travel and hotel arrangements, meals, honorariums, hand- outs, etc.
- Exercise independent judgment, seeking appropriate counsel, to initiate follow-up with UTMB and School of Nursing administration, faculty, staff, students, and outside agencies to ensure that all activities are accomplished in a timely manner.

- Prior experience with Campus Solutions and Query Manager preferred
- Advanced Microsoft Suite experience (i.e. Excel, Word, Forms)
- MBA preferred
- Prior experience with Cobblestone preferred
- Qualtrics experience preferred
