Administrative Associate, Associate VP For Student Services
Min Qualifications:
Bachelor's degree or equivalent in related field. No experience required.
Specific Job Related Duties:
- Assists in the preparation of the departmental budget.
- Maintains the current status for the budget and grants including income and expenditures.
- Provides staff assistance in the development and interpretation of policies and procedures relative to the department.
- Organizes and directs the secretarial and clerical operations of the department by establishing, reviewing, and revising internal procedures and work flow.
- Acts as department liaison with other departments and agencies regarding inventory control, building services, equipment and maintenance repair, purchasing, safety, and other administrative matters.
- Coordinates personnel matters with the Human Resources Department and ensures compliance of the department with current Human Resources policies, procedures, and practices.
- Compiles and prepares financial, statistical, and annual reports.
- Adheres to internal controls established for department.
- Verifies expenditures and reconciles errors on area accounts.
- Maintains detailed reports and records of account data.
- Maintains inventory of needed supplies for designated support area and processes requisitions for routine purchases utilizing on-line ordering system.
- Performs all purchasing procedure tasks including Procurement Card in accordance with institutional policies and procedures.
- Arranges travel and enters information in on-line system to process employee reimbursements and check requests ensuring compliance with institutional policies and procedures.
- Processes reimbursements and check requests.
- Performs recording secretary duties for committees or team meetings (i.e., prepares agendas, minutes, and reminders).
- Schedules, coordinates, and organizes appointments, meetings, and rooms.
- Creates and maintains databases and spreadsheets
- Provide administrative support as needed to AVP for Student Services and, as appropriate, other leaders and functions in the Office of Student Services.
- Performs related duties as required.
