Minimum Qualifications:

Bachelor’s degree in accounting, business, or equivalent and six years of related experience.   

  
Job Summary:

The Accounts Payable Manager is responsible for managing all AP and P2P (Procure to Pay) related processes and a team whose responsibilities include but not limited to: Receiving and scanning mail, invoice indexing and processing, daily pay cycle runs, supplier communication, department communication and working with purchasing and receiving to resolve PO/Invoice Issues.

Job Duties:

  • Provide leadership and coaching to the team and ensure they have the tools and resources to consistently perform at a high level and help meet department objectives.
  • Manage individual performance by establishing goals and monitor performance against these goals. Provide regular feedback to individuals regarding their performance including areas of improvement.
  • Conduct periodic audits to ensure process adherence and accuracy.
  • Work with HR to address employee performance and attendance issues and maintain adequate documentation.
  • Regularly Review KPI and volume reports to identify trends and proactively work with the Director to discuss staffing needs.
  • Manage the full cycle requisition to hire process when replacing and/or adding positions.
  • Manage the SUA (Single-Use Account) program and serve as the main point of contact with Chase. Oversee all new supplier onboarding campaigns and report to Director on the outcome of each campaign and supplier trends.
  • Manage the SpendMend audit recovery program and serve as a liaison between the supplier and UTMB. Regularly conduct audits to ensure accuracy with billing and recovery. Report out to Director on recovery trends and opportunities.
  • Manage AP report dashboard and serve as the SME for Qlik and Hyperion.
  • Review match exception and unable to voucher reports, identify root causes and work with Supply Chain to find a resolution.
  • Assists in developing, implementing, and maintaining the annual operating budget for their section of responsibility.
  • Establishes and maintains effective working relationship with all Accounts Payable customers, both internal and external. Responsible for the coordination of efforts between multiple work teams to meet outcomes beneficial to the customer needs and making appropriate decisions related to escalation of issues.
  • Work with team to build developmental roadmaps that enable them to expand on their knowledge and skills.
  • Ensures service levels and metrics are met, manages Mail Service activities with various UTMB personnel and departments for the coordination of activities and service.
  • Assists in developing, implementing, and maintaining the annual operating budget for their area of responsibility.
  • Adheres to internal controls and reporting structure.
  • Performs all other related duties as required.

Knowledge/Skills/Abilities: 

  • Ability to mentor, develop and motivate a team to consistently achieve operational success.
  • Must be able to effectively communicate (oral and written) with the team, management, and internal and external customers.

  • Ability to multi-task, prioritize and meet deadlines.

  • Ability to analyze and present data for decision making.
  • Ability to determine root cause and problem solve.
  • PeopleSoft FMS, Perceptive Software, Qlik, GHX, Jaggaer/Sciquest,
  • Chase Bank Payment Net. Chase Bank Access.
  • MS Office.

Preferred Qualifications:

  • MBA or master’s degree in accounting, finance, supply chain or related field. 
  • Certification in related field, CPA, etc. 
  • Experience in managing a large accounts payable operation in an ERP environment such as PeopleSoft, Oracle, SAP, etc. 
  • Experience developing and leveraging data analytics and scorecards to manage operations and communicate operational status and effectiveness to leadership.    

Salary Range:

Actual salary commensurate with experience.

 

 Work Schedule:

Partial Remote, on site as needed weekly. Monday through Friday, 8am to 5pm and as needed on occasion.
